Contact

Some of our forms require the mandatory provision of certain information about yourself. We make great efforts to ensure that only trade visitors gain access to our trade events. Hence, as a rule, on top of your first and surnames we also require your email address and if necessary your company name, postal address and telephone number, as well as statistical details (your sector, your interests, company size). Mandatory provision of such information helps us to process your inquiries efficiently. Private individuals are only granted access to trade fairs with the express permission of the organisers. All additional information goes towards improving our services for you.

Personal details

All details specific to a particular exhibitor or any other individual Expo Contact Network user.

Exhibitor details

Are details specific to the exhibiting company participating in a trade fair for which the Expo Contact Network is provided:

  • Company name
  • Company logo
  • Exhibitor or co-exhibitor
  • Trading registry number
  • VAT number
  • Contact (first names, surnames, telephone number, e-mail)
  • CEO/ General Manager (first names, surnames)
  • Corporate postal address (including postcode/ZIP, town/city and country)
  • Telephone numbers
  • Corporate website
  • Company e-mail Adress
  • Company adress
  • Themes featured in the exhibition
  • Business fields in which the company is active
  • Companies and brands the exhibitor represents

User details

These are details specific to individuals using the Expo Contact Network as visitors, exhibitor contacts or exhibitor profile administrators. These include obligatory items of information provided as a precondition for registration, and additional optional items of information provided by the user in his/her profile for use in the Expo Contact Network.

Obligatory information

This must be provided and includes the following:

  • First names and surnames
  • Company for whom the individual works
  • Personal e-mail address – Expo Contact Network user type (expo visitor/exhibitor contact/ exhibitor profile administrator)

Optional details

These are listed below and can be provided voluntarily by the user. Reed can augment such information with other items of optional information.

  • Profile photo
  • Description of occupation
  • Telephone and fax number
  • Description of goals set for the trade fair
  • Freely written description of the person in question
  • Link to one or more Social Network Accounts
  • Days upon which the person will be present at the fair
  • Size of the company for which the user works
  • Sector in which the user’s company is active
  • The user’s field of interest

Interaction data

This data is specific to each person and is generated by the user when using the Expo Contact Network. Such interactively generated data includes:

  • Messages, product inquiries and appointment inquiries and all content
  • Appointmensts arranged with other users
  • Products, product groups, brands, exhibitors, companies represented by the exhibitor, exhibitor contacts or events and speakers the user enters into his/her own expo planner within the system.

Automatically recorded details

This is user-specific information automatically recorded by Reed whenever the user is active within the Expo Contact Network. Such data includes:

  • Last log-in date
  • User's IP Adress
  • URL (including parameters) for the requested web page
  • Browser type (Internet Explorer, Google Chrome, Safari etc.)
  • Number of log-ins on a user account
  • Number of views of an exhibitor profile
  • Number of leads an exhibitor has accrued
  • Number of product inquiries received by an exhibitor / no. of views of an exhibitor’s product
  • Number of clicks on a link in the system to a company website
  • Number of users that have registered to be anonymous users of the Expo Contact Network.
  • Number of opt-in users (agreeing to share their data with exhibitors and be visible in the Lead Tracker)
  • Number of user views of side event items / the profile of a speaker / the profile of an exhibitor contact
  • Number of businesses / products / side events / speakers / exhibitor contacts entered in the expo planner by a user
  • Number of / confirmed / unanswered / denied appointment requests sent by a user

8.3 Reed data processing

Reed saves and processes the above-listed person-specific data for the purpose of administering the Expo Contact Network to be able to provide you with all the services available from this platform.
Person-specific data is only forwarded or made available to third parties to such a degree as is considered necessary to provide the services offered by the Expo Contact Network, and only includes content permitted within the framework of the Data Protection Declaration. The data Reed uses, how it is saved, processed and made available to third parties is detailed below.
Reed has contracted Reed Exhibitions Limited (RX UK) Gateway House, 28 The Quadrant, Richmond, Surrey TW9 1DN, United Kingdom with the handling of all data and the technical implementation of data processing. RX UK is the service provider for Reed as defined in § 10 DSG.

9. Registering to use the Expo Contact Network

Registration as a user is a precondition for use of the Expo Contact Network and all the associated services. Registration can be completed in a number of ways, depending on whether a person is using the Expo Contact Network as a trade fair visitor or as an exhibitor, or on behalf of an exhibitor.

9.1. Registration as a trade fair visitor

If you intend to use the Expo Contact Network as a trade fair visitor you can register when purchasing your admission ticket or when redeeming a voucher for the acquisition of an admission ticket for a fair offering Expo Contact Network services. Alternatively, there is also a separate online Expo Contact Network registration option for trade fair visitors via the internet site of the respective trade fair.
Complete provision of all obligatory items of information is mandatory. Subsequent to registration an e-mail will be sent to the e-mail you have provided containing a link to be activated. Once the link has been activated you will be required to provide a personal password. Once the password has been entered the registration procedure is complete. You can now use the Expo Contact Network as a trade fair visitor.
Please note, Reed saves all items of obligatory information, whether you complete the registration procedure by clicking the activation link or not.

9.2. Registration on the exhibitor page

Exhibitors

All exhibitors registered to participate in a fair providing Expo Contact Network services are automatically entered into the exhibitor listing within the Expo Contact Network, without any further need to register or log in. Exhibitor details that are provided when registering to participate in the fair are fed into the exhibitor profile available in the Expo Contact Network.
When registering to participate in the fair, ensure you select an exhibitor package for your company that includes use of the Expo Contact Network. This also requires you to nominate one or more exhibitor profile administrators. Each exhibitor profile administrator has access to his/her company’s Expo Contact Network user account (Corporate Account) and can use this to manage and expand the exhibitor profile.

Exhibitor profile administrator

If the exhibitor in question has nominated you as an exhibitor profile administrator, Reed will send you an activation link to the e-mail address provided on registering for the trade fair. Once the link has been activated you will be required to enter your administrator password and may also be asked to fill in your user details. Once your details have been confirmed the registration procedure as an exhibitor profile administrator is complete.
Please note, all obligatory information provided to Reed by the exhibitor is saved regardless of whether you complete the registration procedure by opening the activation link.

Exhibitor contact

If, in the course of registration, you are nominated by the exhibitor as an exhibitor contact or installed by your exhibitor profile administrator as an exhibitor contact, Reed will send an activation link to the e-mail address provided by the exhibitor or the exhibitor profile administrator. Once you have opened the activation link you will be requested to enter your personal password and, if necessary, to complete or augment your user details. Once your details have been confirmed your registration as an exhibitor contact is complete and you will be able to use the Expo Contact Network as an exhibitor contact. Please note, Reed saves obligatory information from the exhibitor and exhibitor profile administrators, regardless of whether you complete the registration process by opening the activation link.

10. Using the Expo Contact Network

10.1. Users registered as trade fair visitors

User profile

Your user information is used to compile your user profile. This data can be augmented or changed at any time.

Interaction with exhibitors and exhibitor contacts

Exhibitors and users participating in the Expo Contact Network for an exhibitor (a.k.a. exhibitor contacts) cannot view your profile. However, you will be able to make contact with exhibitors and exhibitor contacts using the Expo Contact Network – either by sending a message to an individual or submitting a product inquiry for a product offered by the exhibitor. Furthermore, you can initiate contact with an exhibitor contact by sending an appointment inquiry.
If you send a message or product inquiry to an exhibitor, in addition to the message and/or product inquiry, the message subject and the date of receipt of the message or product inquiry, his exhibitor profile administrator will then be given access to view your entire user profile. The exhibitor profile administrator can make contact with you. This is also the case if your send a message to an exhibitor contact.
An appointment inquiry sent to another exhibitor contact must include a proposed meeting time for the appointment, and also the theme to be discussed. Optional items within the proposal include the appointment venue, and other information relevant to the meeting.
Once the appointment inquiry has been sent the requested appointment, including the proposed scheduling and theme of the meeting, plus your name and that of your company, will be shown in the personal expo calendar of the exhibitor contact you have contacted. The appointment also appears in your expo calendar, as do the proposed scheduling, theme, and the name and company of the exhibitor contact. If the exhibitor contact confirms the appointment inquiry, the appointment will be marked as a fixed appointment in your expo calendar, and in the expo calendar of the exhibitor contact. At the same time you will receive notification of the confirmation of your appointment inquiry in your in-box. If an exhibitor contact rejects your appointment inquiry, the appointment will be deleted from your personal expo calendar and from the expo calendar of the exhibitor representative.
You can also enter other exhibitors, exhibitor contacts or exhibitor products in your personal expo planner, without having to make direct contact with the exhibitor or his/her exhibitor contact. Conferences and side events held during the fair can also be entered into your expo planner. Your personal expo planner cannot be viewed by other users of the Expo Contact Network.

Interaction with other trade fair visitors

Users registered as trade visitors in the Expo Contact Network have unlimited access to your user profile, unless you have deactivated the visibility option in your user profile. Changes to the visibility of the user profile can be made from within your user profile at any time.
You can send messages or appointment inquiries to any other trade visitor registered as users of the Expo Contact Network and enter them into your customised expo planner.

10.2. Exhibitors

User profile

The exhibitor listing can be accessed via the Expo Contact Network and all the details provided by each exhibitor when registering to participate in the fair in question are visible for all other users. If, when registering for the trade fair, your company chooses a package that includes use of the Expo Contact Network, your company’s exhibitor profile will also be sent information about your exhibitor contacts and the products they will be featuring at the show in question, plus additional exhibitor data your exhibition profile administrator has installed on behalf of your company. The exhibitor profile is completely visible for all users of the Expo Contact Network.

Interaction with other users

All other users in the Expo Contact Network can contact your business as a registered exhibitor in the Expo Contact Network by sending you a message, or by sending you a product inquiry. However, your company can only contact other users in the Expo Contact Network via one of your exhibitor contacts.

10.3. Exhibitor contacts

User profile

Your user data is used to compile your user profile. You can complete, augment or change this content at any time. As an exhibitor contact your user profile is completely visible, and is accessible to all users of the Expo Contact Network via the exhibitor profile of the exhibiting company for whom you will be working at the fair or via the business contact list. However, you only have access to the user profiles of other exhibitors and exhibitor contacts.

Interaction with other users

You can make contact with other exhibitors and exhibitor contacts using the Expo Contact Network at any time by sending them a direct message, sending a product inquiry regarding a product of a specific exhibitor, or by sending an exhibitor contact an appointment inquiry. In this way it is also possible for other exhibitors or exhibitor contacts to contact you at any time.
As a general rule you will not be able to view user profiles of Expo Contact Network users registered as trade fair visitors participating in the Expo Contact Network. These profiles only become accessible if the trade visitor in question chooses to contact you. If you are contacted by a trade visitor you will also be able to send him/her messages.
If you send a message or product inquiry to an exhibitor, the in-box of his corporate account will display your name as the sender of the message/inquiry, your user role as a representative of the exhibitor, the name of the exhibitor for whom you work, the message/product inquiry, the subject line of the message and the date upon which the message/product inquiry was received. This is also the case if your send a message to an exhibitor contact.
An appointment inquiry sent to another exhibitor contact must include a proposed meeting time for the appointment, and also the theme to be discussed. Optional items within the proposal include the appointment venue, and other information relevant to the meeting. Once the appointment inquiry has been sent, your name, company, theme and the appointment scheduling you have proposed will be shown in the personal expo calendar of the exhibitor contact you have contacted. The appointment also appears in your expo calendar, as do the proposed scheduling, theme, and the name and company of the exhibitor contact. If the exhibitor contact confirms the appointment inquiry, the appointment will be marked as a fixed appointment in your expo calendar, and the expo calendar of the exhibitor contact. At the same time you will receive notification of the confirmation of your appointment inquiry in your in-box. If an exhibitor contact rejects your appointment inquiry, the appointment will be deleted from your personal expo calendar and from the expo calendar of the exhibitor representative. This also works in the other direction if you receive an appointment proposal from a registered trade fair visitor or another registered exhibitor contact using the Expo Contact Network.
You can also enter other exhibitors, exhibitor contacts or exhibitor products in your personal expo planner, without having to make direct contact with the exhibitor or his/her exhibitor contact. Conferences and side events held during the fair can also be entered into your expo planner. Your personal expo planner cannot be viewed by other users of the Expo Contact Network.

10.4. Exhibitor profile administrator

As an exhibitor profile administrator you are exhibitor contacts with a corresponding user profile, and are endowed with specified administrative rights for your exhibitor’s corporate account. In regard of use of the Expo Contact Network you are subject to the same conditions that apply to exhibitor contacts.

11. Lead-Tracker

All contacts made with an exhibitor as a user of the Expo Contact Network, and any entry of an exhibitor or exhibitor’s product in your expo planner (hereinafter known as ‘lead activities’), will be documented for the exhibitor in question as a ‘lead’. The exhibitor receives the following information:

  • Obligatory information
  • Lead type (message, appointment inquiry, entry into the expo planner, etc)
  • Lead date

Every exhibitor profile administrator working for the exhibitor in question has access to the data. The exhibitor profile administrator can export data stored in the lead tracker as csv and Excel files and save them on local devices and storage media for further use.
If you do not want your data to be saved by exhibitors in the lead tracker, the function can be deactivated in your profile settings. Once deactivation has taken place, no new lead activities will be documented a ‘leads’. All activities prior to deactivation will remain in the lead tracker. Any of your data that has already been recorded in an exhibitor’s lead tracker at the time of deactivation will be tagged with a notice declaring you no longer wish for your leads to be recorded in the lead tracker, and that future lead activities will no longer be recorded.

12. Data protection

For Reed Messe Salzburg GmbH your satisfaction is of utmost importance. The data we collect from you is used to improve our services.

DECLARATION OF AGREEMENT according to the LAWS OF DATA PROTECTION:
On provision of the data the user authorises the use of such data in the joint information system shared by Reed Messe Salzburg GmbH (DVR No. 0079944), Reed Messe Wien GmbH (DVR No. 2108555) and Reed CEE GmbH (DVR Nr. 3003805) for the event marketing purposes of the aforementioned companies.


The use of an exhibitor voucher code also implies acceptance of the right to pass on such data to the exhibitor for his/her own product marketing purposes. Permission can be withdrawn at any time making any further use of such data unauthorised. According to § 151 of the industrial laws you have the right to forbid the transfer of your personal details to third parties for marketing purposes.
Users have the right to revoke consent with immediate effect via e-mail to e-support@messe.at
If you revoke consent, initially Reed will deactivate your entry in the Expo Contact Network and delete the personal data processed in this service - within 4 weeks - in all cases in which further use of data is not permitted by other legislation and directives, in particular the Austrian ‘Standard- und Musterverordnung 2004’.
